How to create a task management system with Lovable and AI

In an extremely competitive market, freelancers, consultants and agencies need an efficient way to organize themselves. According to Upwork, 38% gives current work force either independently or as a freelancer. But do you know how to structure your activities so that your value is truly perceived by clients? In this article, you will understand exactly how to create a zero task management system, using artificial intelligence.

If you do work as a freelancer, you will probably start using a caneta and an agenda. This is the type that likes to place everything on the note pad. The problem is that, sometimes, you disconnect the computer and that digital notebook is lost. Or worse: as it happened to me twice, your desk crashes, your notebook breaks and you lose all your important notes.

The truth is that you need a digital solution. But installing complicated systems, often priced in dollars and some features that you do not use, is not the best way to go. Contrary to what many think, you do not need to depend on these generic platforms.

That’s exactly where it comes in Lovablean artificial intelligence tool that allows you to create your own task management system in less than an hour, even without knowing how to program. Let’s go la?

H2: What is Lovable?

O Lovable is a development platform based on artificial intelligence (known in the market as vibe coding or advanced no-code development). Instead of writing lines of code, you talk to AI in natural languages and build the web application for you.

The platform works on the basis of credits: the more you ask for AI to build or alter functionalities, the more credits are consumed. A great advantage is that Lovable has its own hosting environment called Lovable Cloud, which includes a data bank, user authentication and infrastructure, all under the same guard.

How to create a non-Lovable task management system: step by step

To create a functional task management system focused on freelancers, you don’t need to start dark. Lovable’s interface is very similar to ChatGPT or Claude.

The second step here is to use the Planning Mode. The initial error is to go directly to the “Construction” mode, allowing the AI to display the code without thinking about the structure. The planning acts like a brain, reflecting on what must be developed before executing.

1. The structural prompt

To start creating your system, you need a very well-directed prompt (command). Below, the exact model I use to create a non-Kanban style dashboard (similar to Trello):

“Create a web application for managing personal activities, focused on freelancers and consultants. The system must have a secure login and authentication screen. After login, the user should see a non-Kanban-style main panel, with the columns: To Do, Started, Waiting for Customer and Completed. It should be possible to create, edit and exclude tasks, dragging them between columns. Each task must allow you to insert a title, description, deadline and associate a client. Also create a simple customer registry area: Name, Email, Company Telephone. The design must be clean, modern, mobile responsive and use professional tools.“

Requesting that the system be responsive for cell phones is essential. In the end, you want to be free to record a new activity directly from your mobile device when talking about something important.

2. The refinement of AI

After sending the prompt, it is not in planning mode, or Lovable is not programming immediately. It reflects on the order and returns strategic questions to improve your MVP (Minimum Viável Product).

In practice, what I noticed most was that the tool asks very pertinent questions, such as:

  • “Which login methods should you enable? E-mail with senha + Google?”
  • “Are the task data individualized per user or shared within teams?”
  • “Do you want to include extra resources, such as priority labels, filter by client and deadline alert?”

You answer these simple questions and, from there, the IA assembles a complete execution plan, detailing how the front-end, the back-end and the data bank work.

3. Construction and adjustments (Fix Errors)

After approving the plan, you command the tool to start “codar”. In about five minutes, Lovable built a system that would take months to build by a traditional developer.

Complete delivery or flow:

  1. Login and registration form by e-mail.
  2. Kanban chart dragable with four columns.
  3. CRUD (creation, reading, updating and excluding) of clients.
  4. Tasks with deadline, priority and visual alerts.

It is natural that, in a first release, you will encounter small bugs. For example, if you try to drag a task from one column to another, it can return to the original. The good news is that Lovable has a button called “Fix Errors”. Simply click on it or report the problem in the chat (“I am moving the task, but it is not working in the new column”), and the AI corrects the local code status in seconds.

4. How to publish your system

As the system validated on the visualization web (preview), the next step is to publish it for real use.

Click on “Publish”, or Lovable offers a security verification (Security Scan). It analyzes code breaks to ensure that your software does not have basic vulnerabilities. Once approved, you will receive an access link.

This article shows that creating a task management system of its own should be an exclusive luxury for large companies or experienced programmers. Like Lovable, you spend very few credits and solve a real problem in your routine in a single afternoon.

You know, you are no longer a refém of chains that we can grind or of expensive and complicated systems. You now have a simple, practical, quick and well-developed tool for your work flow.

If you want to take the next step in your professional organization, create your account not Lovable, copy the prompt of this article and test the tool. And we want to provide more content on how to increase your productivity with AI, accompanied by the Master’s blog.
